PDF Champ the browser-based PDF toolkit is pointing to a use for its free Compare PDF tool that goes a bit further than most people would expect from a simple file-checking tool: using metadata differences to identify when a document has been quietly edited, regenerated, or passed through someone else’s software before it found its way back into your inbox.
Most people think of comparing two PDFs as a page-count exercise — did this file get longer or shorter? But metadata leaves a trail of its own. The author field, the title, the date of creation, and other information embedded in a document usually don’t change unless something happened to the file along the way. If the fields don’t match between two supposedly identical documents, that’s often the first sign something changed behind the scenes.
A couple of times this actually caught something
- A freelancer delivers a “final” file with metadata showing it was created in different software than the original draft
- Two copies of a signed agreement carry different author fields, worth a second look before either gets filed
- A contractor resubmits a report and the title metadata still refers to an older project name
- HR or legal teams verifying whether a document given by someone matches the one originally issued
Most of the time, none of these are dramatic fraud scenarios — usually it’s someone re-saving a file through a different tool, or a template getting reused sloppily. But if you’re dealing with contracts, HR paperwork or client deliverables, it’s worth having a quick way to flag that inconsistency before you sign something off.
